The Difference Between AI That Assists and AI That Acts

Table Of Contents

“AI” has become a catch-all term in insurance, covering everything from a chatbot that drafts an email to a system that runs an entire renewal review on its own. Those are wildly different tools doing wildly different jobs. Understanding where a given tool falls on that spectrum, and where your agency currently operates, is the first step to figuring out what moving up and truly embracing growth looks like.

The Spectrum: Copilots, Assistants, and Agents

Most AI tools in insurance today fall into one of three categories:

Copilots sit beside you and respond only when asked. An example of this is a tool that drafts a client email or summarizes a policy document when prompted. It doesn’t initiate anything. You do the thinking; it does the typing.

Assistants go a step further than copilots. They can pull information from connected systems and complete a defined task with less hand-holding, like answering a compliance question by referencing your content library or generating a first-draft renewal summary from account data. Assistants still wait for a person to kick off the work, but they can execute more of it independently once triggered.

Agents are different in kind, not just degree. An agentic AI system can plan a sequence of steps, take action across multiple tools, and keep working without a person actively driving each move. In an insurance context, that might look like an agent that identifies renewal accounts approaching their window, researches what’s changed in each client’s risk profile, and drafts outreach, all before a producer logs in for the day.

Where Most Insurance Professionals Are Operating Today

Right now, many agencies and brokerages are living somewhere between copilot and assistant. Producers commonly use AI to draft communications, summarize documents, or answer quick questions. This kind of work is useful, but it has major limitations. The tool doesn’t act until it’s told to and requires significant oversight from team members.

Zywave’s 2026 Broker Services Survey found that failure to leverage modern technology and AI-powered tools now ranks among the top factors that would lead an employer to consider switching brokers. Clients are noticing whether their broker uses the latest technology and are factoring it into whether they stay. The distinction between assists and acts matters because “AI” often gets marketed as if it’s already agentic, when in reality, most deployed tools are still copilots wearing an assistant’s marketing.

What Embracing AI in Insurance Looks Like

Moving from assistant to agent is a shift from “AI that helps me do the work” to “AI that does the work and tells me when it needs me.” A prospecting workflow, for example, moves from a producer manually researching leads with AI’s help, to an agent that continuously identifies prospects, builds an outreach sequence, and hands the producer a warm conversation to close.

A streamlined renewal workflow moves from a producer remembering to check accounts 90 days out, to an agent that’s already flagged which renewals need attention and why. The difference shows up in what a producer’s day contains: less searching and assembling, more advising and closing.

Discover AI Built for the Way Insurance Works

The gap described is what Zywave Apex™ is built to close. Zywave Apex MCP embeds 30 years of insurance intelligence directly inside the AI assistants your team already uses, like Claude, ChatGPT, or Copilot, turning a generic copilot into one grounded in verified insurance data. Producer Agent and Advisor Agent go further still, working autonomously to build pipeline and flag at-risk renewals so your team has what they need to be successful.
